The Department of Tourism, Culture, Arts, Gaeltacht, Sport & Media is seeking applications from suitable candidates to fill vacancies that may arise for the position of Archivist Grade III – National Archives. Applicants who are successful in this competition will be placed on a panel, in an order of merit. The current competition will be used to appoint archivists to permanent established positions.
The Role
In discharging its statutory responsibility for the records of central government, the National Archives oversees ongoing implementation of the provisions of the National Archives Act, 1986 (and related Statutory Regulations and Guidelines) and the National Archives (Amendment) Act, 2018, with regard to the preservation or disposal of records and their transfer to the National Archives. It also acquires records from state-sponsored bodies, business firms, and private individuals, organisations and institutions in order to secure their preservation.
Archivists working in the National Archives perform a range of professional duties in connection with the preservation of, and facilitating access to archives. Work will be carried out under the direction and authority of the Director of the National Archives, and must be carried out in accordance with the guidelines, standards and procedures of the National Archives and as instructed by management. The National Archives Act makes no distinction between paper and electronic records and archivists may be expected to perform duties with regard to either medium.
Principal duties of the Post
The duties of Archivist - National Archives in the Department will include but are not limited to, the following:
• Appraising records held by Government Departments, the Courts and bodies subject to the National Archives Act with a view to making recommendations to the Director concerning preservation or disposal;
• Off-site work, including surveying and cataloguing of records in government departments, agencies and storage facilities throughout the State;
• Advising on the management of records and archives, developing training and other archives and records management programmes; responding to queries from Government Departments, the Courts and bodies subject to the National Archives Act;
• Arranging for the transfer of records to the National Archives including participating in training and advising on the work to be done in preparing records for transfer;
• Arranging, listing and packing/re-housing of records and archives;
• The creation of a range of archival finding aids in accordance with accepted national and international standards and National Archives guidelines and procedures, and checking and editing finding aids for use in the public Reading Room and for publication on the National Archives website;
• Assisting in the invigilation and operation of the public Reading Room; the answering of enquiries by the public in person, telephone callers and correspondents;
• Assisting in the development and operation of education and outreach programmes, including digitisation projects;
• Assisting in work relating to the management of our repositories, including the storage, movement, retrieval and location of archives held by the National Archives, both on and offsite;
• Assisting in work relating to the preservation of archives, including the provision, fitting out, safety and suitability of premises; inspection of premises or other organisations which may have been or may be approved as places of deposit for archives;
• Assisting in work relating to the copying and reproduction of archives held by the National Archives, including the provision of a certified copy service to the public and an official recall service for Government Departments and other bodies subject to National Archives legislation;
• Assisting on work relating to the release of the 1926 Census and the National Centre for Research and Remembrance;
• Liaison with and, where appropriate, training of other staff engaged in duties relating to any of the activities described above;
• Answering correspondence, attending meetings, writing reports, etc. concerning functions and activities referred to above and assisting in the preparation of annual reports, strategy statements, business plans, role profiles, training programmes, requests for tenders, etc.;
• Any other duties as may be assigned by the Director of the National Archives.
