Head Services Officer and Deputy Head Services Officer

The Department of Tourism, Culture, Arts, Gaeltacht, Sports and Media is seeking applications from suitable applicants to fill vacancies that may arise for the position of Head Services Officer in the Department of Tourism, Culture, Arts, Gaeltacht, Sport and Media, Leeson Lane, Dublin 2. It is also intended to appoint a Deputy Head Services Officer in the Department of Tourism, Culture, Arts, Gaeltacht, Sport and Media from this competition.

The Role

The role of Head Services Officer and Deputy Head Services Officer is crucial to the smooth operation of services in the Department’s Dublin Office at Leeson Lane, Dublin 2. The Head Services Officer and Deputy Head Services Officer work within the Corporate Services Section reporting to the Office Services Manager. The role also requires engaging and communicating with staff and managers across the Department as well as with other officials and members of the public. The role also requires management of a team of Services Officers and Services Attendants. The Deputy Head Services Officer is a Services Officer in receipt of an allowance and also carries out Services Officer Duties when not performing the Deputy Head Services Officer role.

Principal Duties of the Roles

The role of the Head Services Officer will involve the following duties. The Deputy Head Services Officer will substitute for and support the Head Services Officer in undertaking these duties.

The role involves the following duties:

• Manage rostering requirements relating to the opening and closing of the building and after hours key-holding.

• Managing attendance of self and direct reports at all mandatory and relevant training for the role.

• Reception duties, including switchboard, dealing with the public, contractors and deliveries.

• Managing Post and DX (secure legal courier service), including franking.

• Managing collection and distribution of post throughout the building.

• Managing and arranging for collection of confidential and other waste and other items for disposal.

• Monitoring, checking and organising for replenishing of paper supply for photocopiers and printers.

• Monitoring repairs and similar issues and logging them with Office Services and/or OPW and liaising with same.

• Participation in organising fire drills, fire safety manager, fire warden and fire marshal training

• Maintain log of visitors into and exiting the building.

• Issue and retrieval of swipe cards for visitors.

• Raise any concerns/report to Office Services Management on any issue concerning maintenance of building/office areas for action by Office Services Management Team.

• Raising and lowering flags as appropriate.

• Reporting to the Department’s Access Officer any issues that may arise for customers accessing building.

• Additional appropriate duties as assigned from time to time.

It should be noted, as the Department with responsibility for the supporting and promoting the Irish language, it is proposed that reception duties through the medium of Irish would be available as required.

Over and above the duties outlined above, appointees would also be responsible for health and safety roles including organisation of checks of first aid kits, defibrillators and fire-fighting equipment, drafting documenting procedures, managing building maintenance and heating system and carbon emissions.
